My Prepaid Balance Explained – A Practical Approach

Note: Purchase requests that add to the prepaid account balance must be invoiced immediately. It cannot be added to a subscription or one time purchase invoice at renewal. What is a Prepaid Balance?

A Prepaid Balance is a

prepaid gift balance
within a customer’s subscription that can be used to pay for future one time purchases or subscription fees. This account is separate from the payment card on file and any other payments or credits associated with the subscription fee. It can be accessed via the drop-down menu on a user’s account page and is shared only with those users who have access permissions granted by the balance owner.

Having a Prepaid Balance enables subscribers to avoid transaction fees and reduce overall transaction costs, as there are no charges on their bill when they use the balance to pay for service. This allows for a more efficient method of invoicing and collection by eliminating the need to process a credit card charge or use another form of alternative payment, such as ACH.

A prepaid balance is used to store credits for a specific period of service, and can be updated in a few different ways:

A prepaid balance can be created in a number of ways, such as a credit card charge that has been manually added or an auto-refill of a customer’s recurring billing plan. Once a prepaid balance is created, the system will automatically notify the Incarcerated User or Authorized User that there are credits remaining on their Prepaid Calling Card or in their Prepaid Debit Account and provide prompts to place a PPCC call. The call will be placed on a per minute, real-time basis against the prepaid balance. Prepaid balances are an excellent way to reduce transaction fees and costs. You can see all credits, debits, and pending charges for your prepaid balance on the Prepaid Balance page of your dashboard. You can also view a history of transactions for your prepaid account and see who has permission to use the balance. Prepaid balances can be refunded at any time by submitting a credit or charge invoice. To do so, create a Purchase request or Admin Console charge with the timeframe set to immediately and select Prepaid Account Balance as the source payment method.

Hundreds of things have prepaid balances, from cellular phones to prepaid long-distance phone cards and prepaid gift cards to prepaid debit cards. Checking the balance on these items is simple and convenient. There are several ways to do so: log into your user account on the merchant website or app; dial a number provided by the merchant or listed on the card (for example, T-Mobile users can dial #999# to check their balance); or ask the retailer for more information. When a subscriber makes a purchase through a Prepaid balance the amount is immediately added to the account balance. Then as they are invoiced the account balance is deducted allowing merchants to reduce transaction costs and avoid overdraft charges. This can be accomplished through the API or Admin Console by creating a Credit Invoice with an origination of prepayment and the desired amount. Alternatively the minimum threshold alert can be used to notify subscribers when their prepaid balance drops below the set amount. To create the alert simply select the organization that has the Me tag and add an amount to the minimum threshold warning. How can I reload my Prepaid Balance?

Prepaid cards differ in their options for adding money, which may include phone, online, direct deposit, or in person. They also impose different limits on how much can be added in one transaction or per day or week. Some cards even report to the credit bureaus, helping build or improve a customer's credit, while others don't.

Note that it's important to keep the books aligned by recognizing revenue for account balances at purchase and not at renewal. This can be done by creating a purchase request in the API V2 or V3 or through the Recurly Admin Console for a charge adjustment with an “origin” of prepaid account balance.
